This policy explains when you may be entitled to a refund and how to request one.
Important Information About Our Services
Our services are designed to support your registration with regulatory bodies such as the Care Quality Commission (CQC), the Care Inspectorate, and Ofsted. While we work hard to give you the best possible chance of success, we cannot guarantee a specific outcome. Final decisions rest with the regulatory authorities, and many factors that affect registration are outside our control.
When You May Be Entitled to a Refund
You may request a refund in the following circumstances:
- We fail to deliver the agreed services – If we do not provide the services or documents we agreed to deliver, and we do not correct this within a reasonable time after you notify us in writing.
- Our work does not meet professional standards – If our services or documents are significantly below the quality you would reasonably expect, and we do not correct this within a reasonable time after you notify us in writing.
When Refunds Are Not Available
We are unable to offer refunds in situations where the outcome is affected by matters outside our control. These include:
- Information provided to us was inaccurate, incomplete, or misleading
- You did not follow our recommendations or advice
- Changes in your circumstances or operations that you did not tell us about
- Decisions made by regulatory authorities that differ from what we expected based on the information available at the time
- Changes to regulatory requirements, processes, or frameworks – Regulators such as the CQC, the Care Inspectorate, and Ofsted may change their standards, application processes, or assessment criteria at any time. We cannot be held responsible for the impact of such changes on your application or registration
- Delays caused by late responses, missing documents, or other matters within your responsibility
How to Request a Refund
If you believe you are entitled to a refund, please follow these steps:
- Submit your request in writing – Send your refund request to us by email or post within 30 days of either the completion of our services or notification of an unsuccessful registration outcome, whichever comes first.
- Include supporting details – Please explain clearly why you are requesting a refund and include any documents that support your request.
- We will review your request – We will carefully consider your request and respond within 14 days.
- Refund processing – If we agree that a refund is appropriate, we will process it within 30 days using the same payment method you originally used.
- If we decline your request – We will explain our decision to you in writing.
Cancellation
If you wish to cancel our services before we have completed the agreed work:
- You will be charged for any work already completed up to the date of cancellation
- Any fees you have paid in advance for work not yet started will be refunded on a pro-rata basis
- Please notify us in writing if you wish to cancel
